Terms of Use

1. Purpose

TD Asset Management (“TDAM”) is an internal business system used to manage warehouse packages, materials, deliveries, storage locations, pickups, and related operational activities.

These Terms of Use govern access to and use of the TDAM website, its associated tools, and the information maintained within the system.

By accessing or using TDAM, you agree to comply with these Terms of Use and all applicable organizational policies.

2. Authorized Business Use

TDAM is provided only for authorized business purposes.

You may use TDAM only when:

  • You are authorized to access the system.
  • Your access is related to your assigned job responsibilities.
  • You use the system in accordance with organizational policies.
  • You comply with applicable security, privacy, records-management, and acceptable-use requirements.

Access to TDAM does not grant ownership of or unrestricted rights to any information contained in the system.

3. User Accounts

Users are responsible for maintaining the confidentiality and security of their login credentials.

You agree to:

  • Use only your assigned account.
  • Keep your password and authentication credentials secure.
  • Not share your account with another person.
  • Not allow another person to perform activity under your account.
  • Notify the appropriate administrator or Information Technology department if you suspect unauthorized access.
  • Log out or secure your device when it is unattended.

Activity completed through your account may be associated with you unless an investigation determines otherwise.

4. Role-Based Access

TDAM uses role-based permissions to limit access to features and information.

Your assigned role may determine whether you can:

  • View package information.
  • Receive or edit packages.
  • Manage warehouse locations.
  • Process pickups and deliveries.
  • Manage partners or users.
  • Access reports.
  • Change system settings.
  • Archive or erase records.

You must not attempt to bypass, disable, or work around these permissions.

5. Accuracy of Information

Users are responsible for entering accurate and complete information.

This includes, when applicable:

  • Package descriptions.
  • Purchase Order numbers.
  • Work Order numbers.
  • Project information.
  • Vendor information.
  • Warehouse and storage locations.
  • Package quantities.
  • Delivery information.
  • Pickup information.
  • Uploaded documentation.
  • Notes and status updates.

Users should correct inaccurate information when authorized to do so or report the issue to an appropriate supervisor or administrator.

6. Package and Warehouse Records

TDAM records package and warehouse activity for operational, auditing, and accountability purposes.

Records may include:

  • Package receipt.
  • Package movement.
  • Storage-location assignments.
  • QR-code scans.
  • Pickup confirmations.
  • Electronic signatures.
  • Delivery requests.
  • Package-status changes.
  • User activity.
  • Date and time information.
  • Uploaded files and photographs.

Users should not create false, misleading, incomplete, or unauthorized records.

7. Electronic Signatures and Confirmations

TDAM may request an electronic signature or other confirmation when a package is picked up, transferred, delivered, or accepted.

By submitting an electronic signature or confirmation, you represent that:

  • You are the person identified by the associated user account.
  • You are authorized to complete the transaction.
  • The information being confirmed is accurate to the best of your knowledge.
  • You understand that the confirmation may be retained as part of the package record.

You must not sign on behalf of another person unless specifically authorized.

8. QR Codes

TDAM uses QR codes to identify packages, child packages, warehouse shelves, storage areas, and related records.

You may not:

  • Alter or replace a TDAM QR code without authorization.
  • Create a misleading or unauthorized copy of a TDAM QR code.
  • Use a QR code to access records you are not authorized to view.
  • Scan a QR code for the purpose of creating a false package event.
  • Attach a QR code to an incorrect package or storage location.

Damaged, unreadable, duplicated, or incorrectly assigned QR codes should be reported promptly.

9. Uploaded Files and Photographs

Users may upload package photographs, shipping documents, packing slips, delivery records, storage photographs, and other supporting materials.

You may upload only information that:

  • Is relevant to an authorized business purpose.
  • You are permitted to possess and share.
  • Does not contain unnecessary personal or confidential information.
  • Does not contain malicious software.
  • Does not violate copyright, confidentiality, or other legal restrictions.
  • Does not contain inappropriate, discriminatory, threatening, or offensive material.

Uploaded files may be retained as part of the applicable package or operational record.

10. Monitoring and Activity Logs

Use of TDAM may be logged and monitored for legitimate business purposes, including:

  • System security.
  • Troubleshooting.
  • Operational auditing.
  • Package accountability.
  • Performance monitoring.
  • Compliance review.
  • Investigation of suspected misuse.
  • System improvement.

Users should not expect personal privacy when using TDAM for unauthorized or nonbusiness purposes, subject to applicable laws and organizational policies.

11. Prohibited Conduct

You may not use TDAM to:

  • Access information without authorization.
  • Modify or erase records without authorization.
  • Misrepresent package receipt, pickup, transfer, delivery, or acceptance.
  • Circumvent security or role restrictions.
  • Introduce viruses, malicious code, or harmful files.
  • Interfere with system operation.
  • Test or exploit system vulnerabilities without written authorization.
  • Collect information for an unauthorized purpose.
  • Harass, discriminate against, threaten, or impersonate another person.
  • Conduct unlawful activity.
  • Use the system for unrelated commercial or personal purposes.
  • Copy, download, disclose, or distribute confidential information without authorization.

12. Confidentiality

Information within TDAM may include confidential, proprietary, operational, customer, project, employee, partner, vendor, or security-related information.

Users must protect this information and disclose it only to individuals who have a legitimate business need and appropriate authorization.

Information from TDAM must not be sent to personal email accounts, uploaded to unauthorized services, or stored on unauthorized devices.

13. System Availability

TDAM may occasionally be unavailable because of:

  • Maintenance.
  • Updates.
  • Network interruptions.
  • Hosting issues.
  • Security events.
  • Technical failures.
  • Circumstances outside the organization’s control.

No guarantee is made that the system will always be available, uninterrupted, or error-free.

Users should follow established backup or manual business procedures when TDAM is temporarily unavailable.

14. No Replacement for Required Procedures

TDAM supports warehouse and package-management activities but does not replace:

  • Required safety procedures.
  • Shipping or receiving inspections.
  • Organizational approvals.
  • Contractual requirements.
  • Regulatory obligations.
  • Required physical controls.
  • Professional judgment.

Users remain responsible for following all applicable workplace and operational procedures.

15. Suspension or Termination of Access

Access may be restricted, suspended, or terminated when:

  • A user no longer requires access.
  • Employment or assignment ends.
  • A user changes roles.
  • Misuse is suspected.
  • Security requires immediate action.
  • These Terms or another organizational policy is violated.

Records created through the account may remain in the system after access is removed.

16. Ownership

TDAM, its software, configuration, content, records, branding, reports, and related materials are owned by or licensed to the organization, except where otherwise stated.

No rights are granted beyond the limited authorization to use TDAM for approved business purposes.

17. Disclaimer

TDAM is provided for internal operational use.

To the extent permitted by law, the organization does not guarantee that:

  • All information will be complete or error-free.
  • Every package event will be captured.
  • The system will prevent all unauthorized access.
  • Data will never be lost or delayed.
  • Reports will be suitable for every purpose.

Users should verify critical information through appropriate operational processes.

18. Enforcement

Violations of these Terms may result in:

  • Removal or restriction of access.
  • Correction or reversal of unauthorized activity.
  • Disciplinary action.
  • Investigation.
  • Referral to management, Human Resources, Information Technology, Information Security, Legal, or law enforcement when appropriate.

19. Changes to These Terms

These Terms may be updated to reflect changes in system functionality, organizational requirements, security practices, or applicable law.

The “Last Updated” date will identify the latest revision.

Continued use of TDAM after an update constitutes acceptance of the revised Terms.
